Dear Parents/Guardians:

It is that time of year for you to register for the spring overnight music department trip.  The musical ensembles take a two-day, one night trip to a Music in the Parks Festival in the general mid-Atlantic region.  The trip includes cultural activities in the area of the festival along with adjudicated music performances by our musical ensembles and end with the students enjoying some time in the amusement park hosting the event.

I have provided you with a list below of activities and inclusions for the trip.   The cost of the trip is $400 per person.   Pages two and three of this document contain the payment dates, cancellation policy, and the registration form.  Whether you decide to participate or not is strictly up to you, however you must return the registration with a response indicating either Yes or No.

Trip Fair Share Agreement 2017-2018

 As a parent or guardian of a child in the Nitschmann band, orchestra, jazz band, and/or singers who will be participating in the overnight spring trip to Fredericksburg, VA on May 11-12, 2018, I agree to the financial obligations set forth in this agreement.

If my child is in the NMS Band, Orchestra, Jazz Band and/or Singers and chooses to attend the overnight spring trip to Fredericksburg, VA a fee of $400.00 is required.

In addition, any student participating in the spring trip is required to be a member of NIMAS and must pay the organization’s registration fee of $75.00.  I understand that the $75.00 registration is non-refundable. 

I understand that my child will have a personal account for fundraised monies and direct payments. Monies above the required balance may be carried over to the following year, transferred to an incoming sibling’s account (provided there is no gap in years) or refunded. Monies can only be refunded if they were paid into the account via cash or check. Monies that are purely fundraised cannot be refunded.

PAYMENT DUE DATES:

If your child is in one or more of the instrumental organizations, you have already paid the NIMAS registration fee. If your child is only in Nitschmann Singers, your registration fee has been evenly distributed among the three trip payments.

 CANCELLATION POLICY:

  1. Any cancellations beforeDecember 22, 2017will be charged $50 per person penalty unless a substitute is found.
  2. Any cancellations afterDecember 22, 2017and before January 19, 2018 will be charged $100 per person penalty unless a substitute is found.
  3. Any cancellations afterJanuary 19, 2018will receive NO REFUND, unless substitute is found.

 

ALL FAIR SHARE DEADLINES ARE FIRM.  FAILURE TO COMPLY WITH THESE DEADLINES WILL RESULT IN THE REMOVAL OF YOUR CHILD FROM THE TRIP. THERE WILL BE NO EXTENSIONS ON THESE DEADLINES!

 If your child’s account is not paid in full by December 20, 2017, he or she will be removed from the trip list and he or she will not be able to sign up on the trip rooming lists. NO switches will be made to accommodate those who did not have their payment in on time. Please refer to the cancellation policy section of this information packet for cancellation fees and dates.

TRAVEL INSURANCE

World Class Vacations offers optional travel insurance to the students and chaperones participating in this trip.  I have attached a copy of the travel insurance details to this email.  Take a moment to read through this document and make a decision on what is best for you and your child.

The important pieces of this insurance are:

1) This is not through NIMAS.  You must contact the company as indicated in the pamphlet.

2) You must register for the insurance within 15 days of the first payment.  This means you must register for the insurance by NOVEMBER 1, 2017.
